Privacy Policy

1. Who we are

This website is owned and operated by Yorkshire Fenix Enterprises, the trading name of the business run by Keith Wood, who writes under the pen name The Yorkshire Fenix.

For the purposes of data protection law, we are the data controller for the personal information you provide through this website. This means we are responsible for deciding how your information is held and used.

2. The information we collect

We only collect information that we need. Depending on how you use the site, this may include:

  • Your name and email address, when you subscribe to the newsletter

  • Your name, email address, phone number and message, when you use the contact form

  • Your name, delivery address and order details, when you buy a book

  • Booking details, when you enquire about a talk or a writing service

We do not collect or store your payment card details. Payment is handled securely by our payment provider, described in section 6.

3. How we use your information

We use your information only for the purposes for which you gave it to us:

  • To send you the newsletter and free chapters, if you have subscribed

  • To reply to your enquiry and provide the information you asked for

  • To process, fulfil and deliver your order

  • To arrange and carry out a talk or writing service you have booked

  • To keep proper business records, as we are required to do by law

We will not use your information for any other purpose without telling you first.

4. Our lawful bias

Data protection law requires us to have a lawful basis for using your information. We rely on:

  • Your consent, for sending you the newsletter, which you may withdraw at any time

  • The performance of a contract, for processing and delivering your orders and bookings

  • Our legitimate interests, for replying to enquiries and running the business properly

  • A legal obligation, for keeping financial and tax records

5. The newsletter

When you subscribe, your name and email address are held by our email provider, MailerLite, which sends the newsletter on our behalf. You can unsubscribe at any time using the link at the foot of every email, or by contacting us. Once you unsubscribe, we will stop sending you the newsletter and remove you from the active list.

MailerLite processes this information on our behalf under its own privacy and security terms.

6. Payment

Payments are processed securely by Wix Payments. When you pay, your card details are handled directly by the provider under its own privacy policy. We never see or store your full card details.

7. Sharing your information

We do not sell your information to anyone, and we do not share it for marketing. We share it only where necessary to provide what you asked for, for example:

  • Our email provider, to send the newsletter

  • Our payment provider, to take payment

  • Delivery services, to send your order

  • Where the law requires us to disclose information

These providers act on our instructions and are not permitted to use your information for their own purposes.

8. How long we keep your information

We keep your information only for as long as we need it. Newsletter details are kept until you unsubscribe. Order and enquiry records are kept for as long as needed to provide the service and to meet our legal and accounting obligations, after which they are securely deleted.

9. Keeping your information safe

We take reasonable steps to keep your information secure and to protect it from loss, misuse or unauthorised access. Where information is entered on the website, it is sent over a secure, encrypted connection.

10. Cookies

This website may use cookies, which are small files stored on your device that help the site work and help us understand how it is used. You can set your browser to refuse cookies, though some parts of the site may not work as well as a result.

11. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the information we hold about you

  • Ask us to correct information that is wrong or incomplete

  • Ask us to delete your information, where there is no reason for us to keep it

  • Ask us to restrict or object to how we use your information

  • Withdraw your consent at any time, for anything based on consent

To exercise any of these rights, please contact us using the details in section 1. We will respond within one month.

12. Complaints

If you are concerned about how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk.

13. Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page, with the date below updated to show when the latest version took effect.
